Parents or students may access the Services through the school’s account, invitation, or other arrangements the school puts in place. The school may be responsible for how student and staff data is entered and used; we process such data as described in any agreement with the school and this Policy.

Depending on how your school configures and uses Convent Pulse, this may include:
- Account and profile data: Name, email address, phone number, role (for example administrator or teacher), school affiliation, and similar identifiers needed to operate accounts.
- Academic and operational data: Class and subject setup, timetables, attendance records, homework or assignments where applicable, and other operational records entered by authorized users.
- Student-related data: Information about students that the school stores in the system (for example identifiers, attendance, fee-related records, or other fields the school enables).
- Communications data: Information used to send notifications (such as email, SMS, or in-app messages) when those features are used, consistent with the school’s configuration and applicable law.
- Technical and usage data: IP address, device or browser type, approximate location derived from IP, log data, diagnostics, and usage patterns that help us secure and improve the Services.
- Payment-related information: If payments are processed through integrated services, payment card or bank details are typically handled by payment providers under their terms; we may receive limited transaction or status information.
We aim to collect only what is reasonably needed to provide the Services.

Actual retention may depend on the school’s subscription, configuration, and requests such as export or deletion where applicable.

No online service can guarantee absolute security; we work to maintain reasonable protections and to address identified issues responsibly.
8. Your rights
Depending on your jurisdiction and your relationship with the school, you may have rights to access, correct, delete, restrict or object to certain processing, or request portability, subject to legal exceptions. Convent Pulse may be used in contexts involving minors. Schools are responsible for appropriate authorization and compliance with laws regarding children’s data. If data is processed or stored in countries other than where users are located (for example where cloud infrastructure is hosted), we take steps required by applicable law for such transfers, such as appropriate safeguards where mandated.
